Your data: what do we need, and what don't we?
To follow the changes that affect you, we need only your tariff codes and the countries you buy from and sell to. Prices and quantities are optional: they are only for working out your costs.
- What the change feed needs: Your tariff codes. The countries you buy each code from, and the countries you sell it to. With these, you see every change that reaches your codes and countries each morning: the rate before, the rate after, and the day it takes effect.
- What is optional: Prices, yearly quantities, the names of suppliers and buyers, freight rates and your declaration files. With them you also see what each change costs you a year and your landed cost. Without them you see the rates. You don't have to upload a file. In the setup, choose “I'll enter only my codes and my countries”. A file with only the tariff code and the origin (or destination) columns is enough too.
- Where your data is kept: In the EU, on Amazon Web Services servers in Frankfurt, Germany. The nightly backups are kept in the same region. Each company's data is kept apart from every other company's in the database. The people of one company cannot see another company's data. We don't sell your data. You decide who in your company sees what under Company → Members: owner, analyst or viewer. Connections are encrypted, and the nightly backups are encrypted too.
- An agreement, and deleting your data: If you need a data processing agreement, we sign one with you. Write to support@eximcast.com. If you want your data deleted, write to support@eximcast.com and we delete it.
- AI models: We read the official documents (public publications) with OpenAI's models. The short explanation on an action card is written by a model from the change's official text and what each figure means. Your company's name, prices, quantities, suppliers and buyers are not sent; we put the figures into the explanation afterwards. If you upload a forwarder's quote and it has no table we can read, the quote's text is sent to the model so it can point to the rates. If you enter only codes and countries, this never happens.
